The RLO will be Site-based and may be required to fulfill duties concurrently on more than one Site as required. Specific Duties To be carried out as specified in RLO Procedure Manual. Site Office Activities Commence & maintain Resident Files. Schedule all access appointments for works & record works completion Issue all appointment letters within required timescale & note dates of issue. Ensure distribution of general communications to residents. Ensure prompt response/action to all queries, concerns or complaints. Provide liaison Reports for Site Management & Client. Ensure full understanding of Scope of Works & Programme of Works. Ensure that Site Management are immediately informed of any Health and Safety issues Record all failed appointments & notify Site Management & Client Liaison with Residents Issue introductory letter to residents. Carry out a pre-visit to each resident to fully explain Scope of Works, likely inconveniences, access requirements, appointments, & complaints procedures, contact details, hours of works. Complete Resident Profiles & Condition Surveys where necessary. Note any Special Needs requirements (shift work, age, physical or mental disabilities, translation requirements.) Ensure that residents are kept fully & promptly informed of any changes, cancellations & progress. Ensure that all access for works /visits to residents homes is prearranged by written notification. Carry out regular checks while works are in progress to ensure correct levels of security & protection, monitoring of progress, reconnection of services where applicable. General Be available for Residents Meetings/Surgeries when required (including out-of-hours) Attend all Site Meetings & present Liaison Reports. Use prepared notifications as per RLO Procedure Manual. Advise Senior Liaison Officer of any requirement for Site- specific notifications, giving adequate notice for preparation/issue. Advise the Senior liaison Officer promptly of any difficulties/problems incurred. Ensure that any Complaints received pertaining to Works are fully recorded and immediately notified to the Senior Liaison Officer. Ensure that all duties are carried out in a professional manner, remaining polite & non-adversarial at all times. Be proactive with other members of the Site team. Be fully aware of Heath and Safety issues at all times.
